As our firm continues to grow, we are seeking a Director of Operations to oversee and to optimize our business operations, ensuring efficiency, profitability, and a seamless client experience.
Position Overview
The Director of Operations will play a critical leadership role in overseeing the firm’s day-to-day business functions, assisting with financial management, developing client service processes, and assisting each of our teams’ efforts to coordinate vendors, support independent contractors and calmly shift internal firm personnel when all-hands-on-deck projects occur. This position requires a strategic thinker with strong operational expertise, excellent organizational skills, and a passion for supporting small businesses.
The ideal candidate will work closely with the law firm’s owner to develop and to implement work product production best practices, to drive process improvements that contribute to the firm’s long-term success.
Key Responsibilities
Operations & Administration
- Oversee the firm’s daily operations, ensuring smooth and efficient workflows across all departments.
- Manage vendor relationships, including technology platforms, office services and outsourced support functions.
- Oversee compliance with legal and regulatory requirements related to business operations.
- Identify cost-saving opportunities and operational efficiencies.
Client & Team Management
- Ensure an exceptional client experience by optimizing intake, onboarding and communication processes.
- Support attorney and staff productivity by managing resources, technology and workflows.
- Assist in hiring, training, and onboarding new team members adopting a human resources operations standard.
- Foster a positive and collaborative team culture.
- Plan the annual firm get-together of our staff who are scattered across the country.
Technology & Process Improvement
- Identify and implement technology solutions to streamline firm operations and enhance client service.
- Oversee case management software, document automation tools and CRM systems.
- Analyze operational data to improve firm performance and client satisfaction.
Business Growth & Strategic Planning
- Work with leadership to brainstorm and execute growth strategies.
- Assist with marketing and business development initiatives, including digital marketing efforts, client outreach, and referral programs.
- Monitor industry trends and recommend innovative solutions to keep the firm competitive.
- Assist in planning to implement a quarterly “growth dollars budget burn” to build modules at the firm over a two- to three-year period.
Qualifications & Experience
- Eight to ten years of experience in operations management, preferably in a professional services or legal environment.
- Strong background in business administration, finance or law firm operations.
- Proven ability to independently improve processes and to increase efficiency.
- Experience managing budgets, financial reporting and billing systems.
- Strong leadership skills with the ability to manage and motivate teams remotely.
- Proficiency in law firm technology platforms (e.g., Clio).
- Excellent communication, problem-solving and decision-making skills.
- Ability to work independently and collaboratively in a remote work environment.
